When you book an appointment at Hello Skin Clinic Aesthetics Ltd, we reserve a practitioner, treatment room and clinical resources specifically for you.
Late cancellations and missed appointments mean that this time may not be available to another client. This policy helps us operate fairly and consistently for our clients, practitioners and clinic team.
APPOINTMENT DEPOSITS
A deposit is required to secure all appointments. The deposit amount will be confirmed when your booking is made.
Your deposit forms part of the total cost of your treatment and will be deducted from the remaining balance when you attend your appointment.
Your appointment is not confirmed until the required deposit has been received.
DEPOSIT REFUNDS
A request to cancel and refund a deposit must be made within 14 calendar days from the date the deposit was paid and at least 24 hours before the scheduled appointment.
Once 14 calendar days have passed from the payment date, the deposit becomes non-refundable.
Any applicable statutory cancellation or refund rights will continue to apply.
CANCELLING OR RESCHEDULING WITH MORE THAN 24 HOURS’ NOTICE
When at least 24 hours’ notice is provided, your deposit may be transferred to a new appointment date.
Where a refund is requested, it will only be considered when:
- The request is made within 14 calendar days of the deposit payment date
- At least 24 hours’ notice is provided
- No consultation, treatment or other paid service has already been provided
- The request meets any applicable legal requirements
If more than 14 calendar days have passed since the deposit was paid, the deposit cannot be refunded. However, it may still be transferred to a rescheduled appointment when at least 24 hours’ notice is provided.
CANCELLING OR RESCHEDULING WITH LESS THAN 24 HOURS’ NOTICE
Appointments cancelled or rescheduled less than 24 hours before the scheduled appointment are considered late cancellations.
For late cancellations:
- The deposit will be forfeited in full
- The deposit cannot be refunded
- The deposit cannot be transferred or used as clinic credit
- A new deposit will be required to secure another appointment
The 24-hour notice period is calculated from the scheduled start time of your appointment.
MISSED APPOINTMENTS AND NO-SHOWS
If you do not attend your appointment and have not provided at least 24 hours’ notice, your booking will be treated as a no-show.
For missed appointments and no-shows:
- The deposit will be forfeited in full
- The deposit cannot be refunded
- The deposit cannot be transferred to another appointment
- The deposit cannot be converted into clinic credit
- A new deposit will be required before another appointment can be booked
CANCELLATIONS BY HELLO SKIN CLINIC
In the unlikely event that Hello Skin Clinic Aesthetics Ltd needs to cancel or rearrange your appointment, you may choose to:
- Transfer your deposit to a new appointment date
- Use the amount towards another suitable treatment
- Request a refund of the affected deposit
Hello Skin Clinic Aesthetics Ltd will not be responsible for reasonable travel costs, accommodation costs, loss of earnings or other indirect expenses resulting from an appointment change or cancellation.
GIFT CARDS
Hello Skin Clinic gift cards are subject to the following conditions:
- Gift cards are valid for two calendar months from the date of purchase or issue
- The appointment and treatment must take place before the gift card expires
- Gift cards are non-refundable
- Gift cards cannot be exchanged for cash
- Gift cards may only be used by the person named on the gift card
- Gift cards cannot be transferred, resold or given to another person after they have been issued
- The named recipient may be asked to confirm their identity before the gift card is accepted
- Treatments remain subject to consultation, clinical suitability, availability and any applicable treatment requirements
Failure to use the gift card within its two-month validity period will result in the remaining value expiring.
Nothing in these gift card conditions affects your statutory rights.
HOW TO CANCEL OR RESCHEDULE
Please contact us as early as possible when you need to cancel or change an appointment.

Our opening hours are Monday to Saturday, 10:00am to 6:00pm.
Messages received outside these hours will be reviewed when the clinic reopens. The time your message is received will be used when determining whether the required 24 hours’ notice was provided.
Please include your full name, appointment date, appointment time and treatment when contacting us.
POLICY SUMMARY

EXCEPTIONAL CIRCUMSTANCES
We understand that genuine emergencies and exceptional circumstances can occur.
Any request for an exception will be reviewed individually by clinic management. Providing an exception on one occasion does not require the clinic to provide the same exception on another occasion.
STATUTORY RIGHTS
Nothing in this policy limits or excludes any rights or remedies that cannot legally be limited or excluded under applicable UK consumer law.
